Navigating UPH Generative AI Regulations

Earlier this semester, UPH officially introduced its regulation on the use of GenAI within the UPH community, as outlined in Peraturan Rektor UPH No. 23 Tahun 2025. This regulation provides a comprehensive framework for the responsible and ethical use of GenAI across various areas, including teaching and learning, research activities, multimedia production, and the protection of institutional data. While the current even semester (Term 1252) serves as a pilot phase for faculty to adopt these principles, full mandatory implementation across all study programs will begin in the upcoming short semester (Term 1253). To help lecturers and students navigate these changes, here we have a summary of what the lecturers and students need to do:

Guiding Principles

To help lecturers and students navigate these changes, here we have a summary of what the lecturers and students need to do:

Actions for Lecturers
  1. Together with the study program, decide on what regulation to use for each assignment.
  2. Communicate the decision clearly to the students in both RPS and in the assignment description.
  3. Cite use of AI. If lecturer use Gen AI in creating materials, give proper citation.
  4. Validate AI result. The Lecturer is responsible for the output of the AI he/she decides to use. Lecturer ensure accuracy and quality of the learning material, feedback, and verify all the grades and comments given by Gen AI tools he/she uses.
Actions for Students
  1. Follow the instructions given by the lecturer about the rules for each assignment and adheres to it (only use Gen AI on yellow and green category assignments, follow specific instructions given by the lecturer especially in the ‘Yellow’ category).
  2. Submit disclosure form. For assignments in the ‘yellow’ and ‘green’ category, students fill out the form about the usage of the Gen AI tool it uses, and give links to the chat or process that he/she uses. An example of how to fill the disclosure form is given as an appendix in the regulation document you can download from the link given below.
  3. Maintain academic integrity. The goal of this regulation is to help ensure all students to complete the process of learning designed by the university to prepare them for their future career. We hope that this regulation can make the playing field more fair and equitable, and each student can be assessed based on their own personal academic work.

GenAI Assessment Workflow

To ensure consistency and academic integrity, the following process is applied to every individual assessment within a course. This systematic approach allows lecturers to define the boundaries of AI usage while guiding students toward responsible adoption. Please refer to the flowchart below for a visual roadmap of these steps:

UPH encourages the thoughtful and responsible integration of Generative AI as part of its commitment to innovation in education. As a technology with unprecedented potential, Generative AI presents both significant opportunities and important challenges. Therefore, members of the UPH community are invited to engage with it wisely and responsibly, while remaining grounded in the unique calling and values that guide our academic and personal lives.
